3.Print Statements

When you have made the appropriate selections, print statements by choosing Start Printing Statements.

If this message appears, you must age the accounts receivable first. If you run statements without aging, they will not be accurate. Turn to the Age Receivables/Payables chapter in section 8  for information on aging the period, then return to the beginning of this procedure to print statements.

 

Only age the accounts receivable if it is the end of the month. If it is the middle of the month and you want to print some statements, use the Mid-Month Statements option from the Accounts Receivable menu.

 

Jewelry Shopkeeper will allow you to print statements regardless of whether the first step of closing the month, the Month End Aging procedure has been done. However, it is highly recommended that you age payables and receivables before printing statements. The statements will only be accurate after aging has been performed. Aging updates the finance charges and the past due charges, properly ages the balances, and updates the end of month balances.

Put the forms in the printer. Press <Enter> to continue and the following message will appear:

 

 

(The alignment should put a ‘.’ after the word DATE in the first column)

             Do you want to test the alignment? Yes No  <Esc>=Quit

 

 

Before printing, you can check whether the paper is properly aligned. Press <Y> to test the alignment, or <N> to start printing.

 

If you press <Y>, a period (.) will print on your form. The period should appear immediately after the word DATE on the form. Roll back the forms in the printer to the appropriate staring place, and if necessary, run another alignment test.

 

 

Laser printed statements don’t need to be aligned — only dot-matrix printed statements need aligning. Once you have found the appropriate position to start the statements, you may want to make a pencil mark on the printer to remind you of the starting position next month so you won’t need to re-align them then.

 

When the statements have printed, the statement menu will re-appear. You can return to step 2 to print more statements, or press <0> to quit end-of-month statements.
